Effective date: November 5, 2026

Hudson River Shakespeare Company ("we," "us") runs hudsonrivershakespeare.org. This page explains, in plain English, what information we collect on this website, why, and what you can do about it.

The short version

  • We collect what you type into our contact form, mailing list sign-up, and chatbot, plus basic technical details (like your IP address) that our hosting and security services record automatically.
  • We use it to answer you, keep you posted about our shows, run the chatbot, and keep the site safe.
  • We never sell it, rent it, or use it for advertising.
  • If you allow it, we use Google Analytics to see how people use the site. If you don't, it never loads.

What we collect

When you use the contact form, we collect your name, email address, subject, and message.

When you join our mailing list, we collect your full name, email address, and mailing address. We use your mailing address to send you postal mail, and your email address to add you to our email list, both for news about our seasons, shows, and year-end fundraising. Our company manager keeps the lists. To be removed, contact us and we'll take you off either list.

When you chat with our website chatbot, your messages are sent to Anthropic, the company that makes the Claude AI model, so it can write a reply. We keep a record of chatbot conversations, including your IP address, to prevent abuse and improve the chatbot, and delete it after 90 days. Please don't type personal details, passwords, or anything sensitive into the chatbot.

When you visit any page, these services see basic technical information:

  • Our web server (on Amazon Web Services) keeps standard logs of visits: IP address, browser type, pages requested, and the date and time. We use them to keep the site running and secure, and delete them after 2 years.
  • Cloudflare protects the site from attacks and keeps it fast. It sees your IP address, browser type, and the pages you request.
  • Google reCAPTCHA checks that you're a person, not a spam bot. It collects information such as your IP address, device and browser details, and how you interact with the page. Google's Privacy Policy and Terms of Service apply.
  • Google Analytics runs only if you accept analytics cookies. It shows us which pages people view, roughly what area they're visiting from, and what device they use. It doesn't tell us who you are, and we never send it your name, email, or messages. If you decline, Google Analytics doesn't load at all, and nothing is sent.

Cookies: Cloudflare may set a security cookie (such as __cf_bm), and reCAPTCHA may set one (_GRECAPTCHA); both only tell people from bots. If you accept analytics cookies, Google Analytics sets cookies named _ga and _ga_ followed by an ID, which group your visits together. We keep analytics data for 14 months.

Your cookie choice: you can accept or decline analytics cookies when you first visit, and change your mind any time using the Cookie settings link at the bottom of every page. If you turn analytics off, we stop it and remove its cookies.

How we use it

  • To read your message and get back to you
  • To mail news about our seasons, shows, and year-end fundraising to people who joined our mailing list, by mail and email
  • To answer your questions through the chatbot
  • To protect the site from spam and abuse
  • If you allow analytics: to see which pages are useful, so we can improve the site

Who sees it

  • Company members who answer messages, and our company manager, who keeps the mailing list.
  • The person who manages our website, who can see stored form submissions and chatbot records to keep the site running.
  • Service providers that run the site: Amazon Web Services (hosting), Cloudflare (site protection), Anthropic (chatbot replies), Google reCAPTCHA, Google Analytics (only if you accept analytics cookies), and AOL (where contact form messages are emailed). They handle data to provide their services to us, under their own privacy policies.
  • Legal requirements: if the law requires it, such as a court order.

We never sell your information.

Your information is stored and processed in the United States.

How long we keep it

  • Contact form messages: kept as part of our company records. If you ask, we'll delete yours.
  • Mailing list: kept until you ask to be removed.
  • Chatbot records: deleted after 90 days.
  • Web server logs: deleted after 2 years.
  • Google Analytics data: deleted after 14 months.

Your choices

You can ask us what information we have about you, or ask us to correct or delete it. Use our contact form or write to the address below. We'll respond within 30 days.

Do Not Track: we don't track you across other websites, and we don't respond differently to browser "Do Not Track" signals. We don't allow advertising networks to track you on this site.

Children

We don't knowingly collect information from children under 13. If you believe a child has sent us information through a form or the chatbot, contact us and we'll delete it.

Changes to this policy

If we change this policy, we'll update it here and change the effective date at the top. For significant changes, we'll also post a notice on the home page for 30 days.
